Our registered office is Station Pier, Waterfront Pl, Port Melbourne VIC 3207, Australia. For any privacy matter, contact us at [email protected] or +61 3 9646 7215.
2. What We Collect
We collect only the information needed to respond to enquiries, produce events and meet our legal obligations:
- Contact details — name, email address, phone number and company name when you enquire or book.
- Event details — guest counts, dietary and accessibility requirements, and event preferences you share with us.
- Booking records — invoices, contracts and payment confirmations necessary for accounting.
- Website usage — anonymised analytics data (pages visited, device type, approximate region) collected via cookies. See our Cookie Policy.
We do not collect payment card numbers. Deposits and balances are processed by our payment partners under their own PCI-DSS compliant systems.
3. How We Use Your Information
- Responding to enquiries and preparing event proposals.
- Delivering contracted event services, including guest logistics and catering needs.
- Sending service communications — confirmations, run-sheets, weather advisories.
- With your consent, occasional marketing such as our monthly Harbour Post newsletter. Every email contains a one-click unsubscribe.
- Meeting taxation, insurance and licensing record-keeping obligations.
4. Who We Share It With
We share personal information only where necessary to deliver your event:
- Cruise line partners — guest names and safety-relevant details required for manifest and boarding.
- Catering and dietary teams — allergy and dietary information for the guests it concerns.
- Professional advisers — our accountant, insurer and legal advisers under confidentiality obligations.
- Regulators — where disclosure is required by Australian law.
We never sell personal information, and we do not share it with third parties for their own marketing. Ever.
5. Storage and Security
Personal information is stored on encrypted systems hosted in Australia. Access is limited to staff who need it for your event. Booking records are retained for seven years as required by taxation law; enquiry records that do not proceed to booking are deleted after twenty-four months.

7. Photography at Events
Professional photography is offered at most events. Images are delivered to the booking client, who controls their use. We never publish identifiable guest photos for our own marketing without written consent. Guests who prefer not to be photographed can wear an opt-out marker available at every event.
8. Complaints
If you believe we have mishandled your information, contact us first — we resolve most concerns within days. You also have the right to complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
